AI in Solar Operations: Five Workflows That Save Time
AI in solar operations is no longer a topic for the future. It's a tool for the three points where time disappears every day: the inbox, the quote, the follow-up.
The order matters. Get one workflow running first – then move to the next. Here are five examples that have proven themselves in energy businesses.
1. Pre-sorting enquiries
Enquiries come in via contact form, phone, Google profile and WhatsApp – often mixed together, often overnight. An AI assistant reads each enquiry and sorts it into categories: new installation, storage, wallbox, maintenance, other.
On top of that, it pulls out the details you need for your response: property type, roof shape, photos available, preferred appointment time. The result is a list instead of an inbox.
In practice: the morning sorting run becomes a task of just a few minutes.
2. Preparing quotes
Standard texts, technical data sheets and pricing modules are ideal candidates for a modular system: the assistant drafts the quote, you review and approve it. Approval stays with the human – that's not a limitation, it's the reason it works.
3. Following up on appointments
Some enquiries go quiet after the quote. Not out of rejection, but out of everyday life. A workflow that sends a short, polite message after 3, 7 and 14 days wins some of them back – fully automated, but in your tone.
Rule: three messages maximum, then leave it. Following up too often costs you referrals.
4. Documentation and handover
After installation: acceptance report, photo documentation, notes for the customer, maintenance date. From bullet points comes a document the customer understands without needing to ask questions.
Side benefit: clean documentation is your protection when questions about the system come up later.
5. Posts, images and reviews
Google profile posts and review requests are the kind of routine work that never gets done. An assistant takes a completed project and creates a short post, a text for the website and a request for a review – you read it over and approve it.
What AI in solar operations can't do
It can't measure, can't sign off and can't decide which system is the right fit. It doesn't replace expertise – it replaces routine. Confuse the two and you build in mistakes that get expensive.
Data protection and control
Customer data doesn't belong in open models. Decide in advance which data may be used, check results on a spot-check basis and work with European providers where possible. These rules belong in writing, not just in your head.
Getting started in two weeks
Days 1 to 3: identify the workflow where you're losing the most time. Days 4 to 7: test it with real cases, without automation. Week 2: automate it, write down the rules, brief the team. After that: measure time saved and error rates, then move on to the next workflow.
This doesn't create a project – it creates a business that needs less manual work. Two building blocks always belong in the mix: visibility – see Local SEO for solar businesses – and preparation in sales. The service overview for AI consulting shows how we introduce these workflows together.
