New Phone Number for Your AI Assistant? Not Needed.
New phone number? The question comes up more often than you think
Many businesses ask this first: do I need a new phone number if I use an AI phone assistant? The answer is no. You don't have to print anything new, re-register anything or explain anything.
The reason is simple: the assistant only takes over when you don't pick up. Your existing number remains the only one that counts.
How call forwarding works technically
You set up call forwarding in your phone system or with your mobile provider. It kicks in either when the line is busy or after a certain number of rings – usually three to five.
Only then does the call reach the assistant. If you pick up, the caller notices nothing at all – not even that anything was waiting.
There's no magic to it. Most providers explain how to set it up in a few steps, and many phone systems already have this feature built in.
What changes in your contact details
Nothing. Your business cards stay exactly as they are. Your Google Business Profile entry stays unchanged. So does the lettering on your vehicles.
Customers call the same number as before. They either reach you – or, if you're up on a roof or in a meeting with a customer – the assistant.
That's the point: you no longer lose a call just because you can't pick up. For more on why this is specifically relevant for solar businesses, see the article on AI phone assistants in the trades – what they can and can't do.
A new phone number would even be a disadvantage
Imagine you had two numbers. One for you, one for the assistant. Then you'd have to decide which one goes where.
Customers would get confused. Some would call the wrong one. You'd lose track.
A single number that leads either to you or to the assistant, depending on the situation, is cleaner. No hassle, no confusion.
What you have to set up once
You need access to your phone system or to your mobile contract settings. There you set up conditional forwarding – for busy and for no answer.
The destination number is the one your provider gives you for the assistant. It's a normal number that you enter just like any other forwarding number.
After that it runs automatically. You don't have to do anything else.
Don't forget data protection and transparency
When an AI assistant takes calls, the caller has to know. That's not a matter of good style but legally relevant – the EU AI Act sets out specific obligations in the trades.
The assistant should introduce itself as an automated system at the start of the conversation. That protects you and builds trust.

What you can take away now
Getting started with an AI phone assistant is technically straightforward. No new phone number, no new printed materials, no explanations to customers.
You set up a forwarding. Everything else stays the same. Your sales no longer lose enquiries just because you can't be reached.
