Pre-qualifying enquiries: mandatory questions for your trade
Why unfiltered enquiries eat up your time
You know the drill: the phone rings, you pick up, and five minutes later you still don't know whether the job is even a fit for you. No photo, no address, no specific problem. Conversations like this cost you valuable working time every single day.
Pre-qualifying enquiries solves exactly that. You decide in advance which details an enquirer has to provide before you call back.
What "pre-qualifying" actually means
Pre-qualifying doesn't mean fending customers off. It means: for each service you define a minimum data set. Only once it is complete does the next step begin.
That minimum data set differs from trade to trade. A solar company needs different details than a heating engineer or an electrician.
The five mandatory fields for almost every trade
Five fields cover the vast majority. You can adapt them for each service:
- Property – Detached house, apartment building, commercial premises, new build or existing building?
- Address – Is the property inside your service area?
- Problem or request – What exactly needs doing, what is broken, what is missing?
- Photos – At least one image of the situation, the meter, the roof or the system.
- Timeframe – When should the work be carried out, is there a hard deadline?
If one of these fields is missing, the enquiry is not qualified yet. The callback waits.
Pre-qualifying enquiries: how to put it into practice
You don't need a complicated system for this. A simple form on your website is enough to get started. If you use an AI-powered phone system, you can also set the questions up there – the assistant asks them, enters the answers and only then puts the enquiry into your queue, once all mandatory fields are filled in.
How an assistant like that works in day-to-day business and where its limits lie is described in the article AI phone assistant in the trades: performance and limits. It's worth reading before you set up a system.
Important: adapt the questions to each service. For a wallbox installation you need different details than for a solar system or a heat pump.
What your assistant must expressly not promise
This is where many businesses make a mistake. The assistant – whether human or AI – collects data. It makes no promises.
No statements about prices, no appointment confirmations, no statements about feasibility. That sounds trivial, but it isn't. If an assistant says "we'll have it done by Friday", you're the one who is liable.
So define clear boundaries. The assistant confirms that the enquiry has arrived and states the next step: "You will be called back within X hours." Nothing more. How to handle this cleanly under data protection law is explained in the article AI phone assistant: data protection – six points before you start.
Service-specific adjustments
For a solar company the mandatory fields might look like this: roof orientation, approximate roof area, current annual electricity consumption, photo of the meter cabinet. For a heating engineer: year the system was installed, manufacturer, fault pattern, photo of the boiler.
You can see: the five basic fields stay the same, but the content changes. Take ten minutes per service and write down what you really need in order to prepare a quote. That list becomes your qualification grid.
Once you have built this properly, you can also integrate it into your marketing – for example as a quote form that guides enquirers from the very first click.
Fewer callbacks, better conversations
The goal is not to receive as few enquiries as possible. The goal is for every callback to become a worthwhile conversation. If you know what the customer has, where they live and what they need, you can assess within three minutes whether a job is a fit.
This also improves your sales: you only talk to enquirers who are genuinely a match for you. Your closing rate goes up because you no longer waste time on enquiries that don't fit.
Anyone who applies qualification consistently soon notices that they don't get fewer jobs – they get better ones.
